Job Description

Key Responsibilities of General Manager Information Technology

1. Overall IT Strategy

► Contribute to formulation of the IT strategy and roadmap at the group level by providing inputs from the BU perspective and accordingly devise the BU IT roadmap aligned with BU requirements and group direction

► Implement IT Function structure at the BU level and ensure the role, responsibilities and accountabilities are well documented and communicated across levels

► Spearhead IT Projects process for the BU IT function

· Partner with key stakeholders (BU Heads/ BU Function Heads) to identify new business requirements

· Assimilate business inputs and voices gathered by IT stakeholders and translate BU requirements into IT actionable

· Collaborate with Group IT team to evaluate, calibrate and prioritize BU wide IT requirements in light of BU context, group IT agenda and relevance and changing industry requirements

· Formalize BU IT function goal plan for the year and ensure goal cascades across verticals

 

2. Financial Responsibilities

► Define guidelines for budget preparations at the site level aligned with group guidelines, and consolidate the IT budget at the BU

► Formulate the IT budget for the BU, discuss and seek approval from the group IT team

► Articulate process and guidelines for the cost allocation of IT projects that are being led at the BU level, in line with group IT direction

► Track and ensure IT budget adherence at the BU/ site level; Timely report and address budget overruns if any

► Gauge value addition through IT projects and measure ROI at the BU level, as per methodologies prescribed by the group; Assist site in evaluation ROI for site initiatives

 

3. Policy, Frameworks and Compliance

► Ensure effective design & implementation of IT policies and frameworks at the business functions level in accordance with overall IT strategy and guiding principles established by the group IT (architecture, infrastructure, applications, sourcing, security & governance)

► Formulate a robust IT risk management framework at the business level as prescribed by group IT and drive effective deployment

► Establish IT audit / health check frameworks (schedules, internal/ external teams) and address critical escalations and findings of the IT health report at the business level

► Ensure alignment of the business level architecture with overall enterprise architecture guidelines & get sign-offs for any exceptions / non-compliances

 

4. IT Operations Excellence

► Implement a robust IT operating and service delivery model that will guide the BU IT function in line with group IT direction

► Ensure adherence to and maintenance of defined performance and capacity levels of IT services and solutions; Address issues in case of non-performance; Consult BU COEs and collaborate with external partners to resolve issues as and when required

► Drive development / up-gradation of BU IT systems, procedures & processes to cater to evolving BU needs and enhancing effectiveness and efficiency of operations; Identify and sign Contract / MOU with Infrastructure, Application & Security Partners for BU-specific requests/ tools with guidance from Corporate team

► Maintain an oversight of effective deployment of IT assets, systems, procedures and processes with respect to consistency, reliability and effectiveness; Review and report the performance of BU wide functions wide systems, assets and processes on a periodic basis

· Oversee maintenance, configuration and troubleshooting of IT assets and infrastructure in line with group guidelines; Consult technology COE when required

· Oversee rationalization of BU wide application portfolio, inventory and lifecycle in adherence to application lifecycle management guidelines and in consultation with application COE

Oversee IT demand management and advise on rationalization of IT services and solutions for the BU; Review demand management performance matrix and recommend actions for course correction

► Monitor the validity of infrastructure, applications and systems licenses and ensure timely renewal

 

5 Project Management

► Oversee planning and governance of BU-level/ critical site projects and ensure alignment with the overall group IT project roadmap; Ensure adequate resources for project implementation

► Drive formulation of convincing business cases for BU-level/ critical site projects and ensure timely approvals and sign-offs from respective stake holders.

► Oversee project implementation and ensure adherence to timelines, budgets and quality; Act as an escalation point in case of project deadlocks and ensure timely resolution of issues

· Track and report the group on project status at identified critical milestones

· Mutually discuss and resolve issues, evaluate partner performance and undertake actions for seamless project delivery

► Oversee projects implementation phase (deployment of new IT services and solutions at the BU and sites) and assess the traction and level of adaptation from the users for the same; Suggest measures to increase user acceptance

· Analyse the adoption of IT services and solution by customers, ensuring that customers’ expectations are met

► Ensure SME training/ transition interventions at the BU & sites for smooth transition from Build to Operate phase

 

6 Partner Management

► Identify and establish strategic partnerships with the IT vendors in collaboration with the group IT function

► Leverage partner networks for value creation for Arvind; Drive partner POCs at the BU & sites in line with group/ BU IT agenda

► strategically negotiate with partners for extending benefit offerings for the BU advantage in BU- led IT projects/ critical site projects

► Oversee and periodically review partner performance and service levels at the BU/ sites basis established SLAs; Address or escalate non-compliances if any

► Design sourcing plan for the BU and oversee timely creation of PRs for procurement of BU-level assets/ applications

 

7 IT Security, Risk Management and Governance

► Drive BU adherence to IT security and governance framework, policies and guidelines

a. Oversee compliance and ensure prompt resolution of non-compliances / security incidences

b. Oversee establishment of IT security architecture and ensure integration

of local security with overall security architecture

► Facilitate internal & external audits as per the group directives and business requirements; Analyze findings and ensure implementation of recommendations based on audit findings in order to ensure compliances

► Participate in group level committees and periodic review meetings to share/ gather information about resolution or preventive plans for chronic/ significant incidences for IT, best practices, and policy updates etc.

► Establish BU level security and governance committees that advises and ensure seamless and secure function of IT processes; Preside over select committee for facilitating strategic decision making

► Ensure compliance to Quality Assurance, Safety & Environment standards by way of well-defined review mechanism

 

8 Customer Satisfaction

► Ensure customer feedback collection for the BU IT services and solutions; Analyse customer satisfaction levels and discuss new strategies with group IT team to improve customer satisfaction levels based on feedback received

► Oversee initiatives raising awareness about IT services and solutions and communicating its value contribution to the business and ensure alignment to group directives

► Ensure approval on collaterals pertaining to BU-level IT branding like corporate presentations, brochures, catalogues, product materials, employee communication, invites, handouts etc.

 

9 People Management

► Formulate manpower plan for the BU IT function in consultation with the group IT team and draw talent implications considering the current and future talent requirements of the business

► Drive a collaborative and a high performance driven culture – Set goals, review performance and provide feedback so as to ensure a motivated and committed team

► Drive team engagement & collaborative workplace initiatives at the BU level

 

10 Internal & External Interactions

► Engage with BU/ BU Function Heads to gather business expectations from IT and provide insights from the delivery standpoint (and for performance review with BU Head)

► Interact with a variety of technology partners and build strategic relationship with them with the objective of leveraging them for business advancement in the present/ future

► Collaborate with Group IT team to provide the BU IT perspective and gain insights/ approvals related to IT operations, security, governance, compliance and projects; Consult BU COEs to gain an SME perspective on IT issues, challenges or initiatives

► Partner with the BU Finance team and the BU techno commercial team for driving contract negotiations and signoffs for BU-level projects

► Interact with existing partners and vendor to reinforce working relationship, strengthen collaboration, track project deliveries and mitigate risks if any

► Coach and support the IT team to build leadership competencies & functional excellence and drive performance and engagement

► Partner with internal audit teams if any to monitor audit process for the BU

► Partner with external audit agencies to monitor regular audit process for the BU; Mitigate risks if any
